Introduction
Welcome to BW Med Aesthetics (referred to as “we”, “us”, or “our”). These Terms and Conditions govern your use of our aesthetic medical services and packages. By booking an appointment, purchasing a package, or participating in our promotions, you agree to comply with and be bound by these Terms and Conditions. Please read them carefully.

Definitions
Client: Refers to the person receiving or booking the aesthetic medical services.
Practitioner: Refers to the qualified professional providing the aesthetic medical services.

Services
We provide a range of aesthetic medical treatments, including but not limited to Anti-wrinkle treatments, dermal fillers, skin boosters, skin peels. All services are provided by certified practitioners in accordance with industry standards and applicable UK regulations.

Appointments
Booking: Appointments can be booked online, over the phone, or in person. All bookings are subject to availability.
Confirmation: You will receive a confirmation of your appointment via email or text message. Please review this confirmation and notify us immediately if there are any discrepancies.
Initial Consultation: New clients are required to undergo an initial consultation to discuss their medical history, treatment goals, and any potential risks. Some medical conditions can mean it is not possible to administer certain treatments.

Packages
Annual Packages: Our annual packages include a specified number of treatments that must be used within 12 months from the date of purchase. Unused treatments will expire at the end of this period.
Other Packages: Packages with different durations and treatment numbers will have specific expiration dates clearly stated at the time of purchase. Packages for Skin Boosters and Chemical Peels must be used within 6 months from the date of purchase. Unused treatments will expire at the end of this period.
Full Payment: Full payment for all packages is required at the time of booking. We accept various forms of payment, including credit/debit cards and cash.
Non-transferable: Packages are non-transferable and can only be used by the individual who purchased the package.

Cancellation and Refund Policy

Single Appointments:
Cancellation: If you need to cancel your appointment, please provide at least 48 hours’ notice. Cancellations made with less than 48 hours’ notice will result in the forfeiture of your deposit.
Rescheduling: Rescheduling requests should also be made at least 48 hours in advance. We will do our best to accommodate your preferred new time, subject to availability.
No-show: Failure to attend a scheduled appointment without prior notice will result in the forfeiture of your deposit and may incur an additional no-show fee of £25

Packages:
Cancellation: If you wish to cancel your package, you must notify us in writing within 14 days of purchase. A full refund will be provided if no treatments have been used. After 14 days, the package is non-refundable. (email acceptable)
Partial Use: If you have started using the package but wish to cancel the remaining treatments, you must notify us in writing. The cost of the used treatments will be calculated at the standard, non-discounted rate, and deducted from the package price. Any remaining balance will be refunded, minus an administrative fee of £25. (email acceptable)
Medical Reasons: If you are unable to complete the package due to medical reasons, please provide a note from your doctor. We will calculate the cost of the treatments you have received at the standard, non-discounted rate and refund the remaining balance of the package price, minus an administrative fee of £25.
Other Reasons: If you are unable to complete the package for reasons other than medical, the standard cancellation policy will apply. You must notify us in writing, and we will calculate the cost of the used treatments at the standard rate, deduct it from the package price, and refund any remaining balance, minus an administrative fee of £25.

Expiration and Extensions
Annual Packages: Annual packages must be used within 12 months from the date of purchase. Unused treatments will expire at the end of this period and will not be refunded or carried over.
Other Packages: Packages for Skin Boosters and Chemical Peels must be used within 6 months from the date of purchase. Unused treatments will expire at the end of this period and will not be refunded or carried over.
Extensions: Extensions may be granted at our discretion for valid reasons such as medical conditions. Requests for extensions must be made in writing before the package expiration date.

Appointment Scheduling
Booking: Appointments for package treatments can be booked online, over the phone, or in person. All bookings are subject to availability.
Cancellation and Rescheduling: Please provide at least 48 hours’ notice if you need to cancel or reschedule an appointment. Failure to provide adequate notice may result in the forfeiture of that treatment from your package.

Referral Program
Refer a Friend: When you refer a friend to our services, both you and your friend will receive a 20% discount on your next appointment. This discount will only be applied if both clients fulfil their appointments. You may refer as many friends as you wish.

Loyalty Card
Loyalty Card: We provide a loyalty card which allows the owner to receive a 20% discount after ten treatments. This discount is non-transferable and can only be used by the individual who owns the card.

Right to Refuse Service
We reserve the right to refuse service to clients who continually miss or reschedule appointments without proper notice. If a client cancels or reschedules appointments more than three times consecutively, we may require full payment in advance for future bookings or decline to provide further services.

Model Days
Model Days: If you participate in our model days, you consent to the use of your photographs for marketing purposes online and in print. In return you will receive 20% for your appointment. Please note the minimum treatments required to receive the discount is two Individual Anti Wrinkle treatments.

Health and Safety
Medical History: Clients must provide accurate and complete medical history during the consultation. Failure to disclose relevant information may result in adverse outcomes, for which we are not liable.
Pre-treatment Instructions: Clients must adhere to any pre-treatment instructions provided by the practitioner to ensure optimal results and minimise risks.
Post-Treatment Care: Clients must follow all post-treatment care instructions provided by the practitioner. Failure to do so may result in suboptimal results or complications, for which we are not liable.

Liability
General Liability: We strive to provide the highest quality of care. However, we are not liable for any adverse outcomes resulting from pre-existing conditions, undisclosed medical history, or failure to follow pre- and post-treatment instructions.
Insurance: We maintain professional indemnity insurance in accordance with UK regulations to cover any potential liabilities arising from our services.

Changes to Terms and Conditions
We reserve the right to update these Terms and Conditions at any time. Changes will be posted on our website, and your continued use of our services constitutes acceptance of the updated terms.
